TASK: You work for a company which produces ready-prepared food for restaurants. On several occasions recently, one of your main customer has been late in settling their account. This has caused your company cashflow and other problems. Write a letter to the customer:
- complaining about the late payment
- explaining the consequences for your business
- saying what you will do if payment is not made
Dear Customer,
Our company has indicated several cases when you have been late in your account settlement. I am writing this letter as a company representative in regard to these late payments.
Obviously, when any business encounters timely payment problems, this is likely to have consequences. Moreover, when this occurs in restaurant-related businesses, these problems are sure to be acute. So, your late payments have caused cashflow, supply chain, and other problems for our company. Without prompt payments, it has been difficult for us to meet other obligations and plan future operations. Nevertheless, we would like to stress that we are still confident about providing quality and reliable services to you. We understand that sometimes delays in payment may occur due to the lack of funds or administrative backlogs. However, it has been an increasingly common issue, and we are concerned about our future deals.
We value our mutually profitable relationship being spotless and hope that you are able to settle your account in the foreseeable future. However, if the payment is not made, we will be forced to take the necessary legal action, such as a lawsuit, to protect our interests.
Yours faithfully,
John Smith.
